Parent Volunteer Information
It takes many volunteers to successfully run a swim meet! All swim and dive families are required to help support the team by volunteering during the season. Whether you prefer to be poolside close to the action or working in an air-conditioned setting, there is a role for everyone.
To sign up for volunteer shifts, visit the Meets & Events page and find the swim or dive meet. If volunteer positions are available, a green "Job Signup" button will appear on the right side of the event listing.
VOLUNTEER REQUIREMENTS
General Requirement
Each family must complete a minimum of three (3) volunteer shifts during the swim season.
Families with Champs-Participating Swimmers
Families with at least one swimmer participating in the Championship Meet (Champs) must complete two regular-season volunteer shifts and at least one Champs volunteer shift.
If Champs shifts are not fully staffed, some Champs families may be required to complete a second Champs shift. Priority for additional assignments may be given to families with multiple Champs swimmers, and families who delay signing up.
Families without Champs-Participating Swimmers
Families whose swimmers do not participate in Champs must complete three regular-season volunteer shifts and are not required to volunteer during Champs.
10 & Under Tent Monitor / Tent Liaison Shifts
Families with swimmers age 10 and under are encouraged to prioritize serving as Tent Monitors or Tent Liaisons. These roles support younger swimmers and count toward regular-season volunteer requirements.
VOLUNTEER CHECK-IN
Volunteers should check in upon arrival at the meet and no later than 30 minutes before their shift begins. After checking in, please listen for announcements directing volunteers to their assigned areas.
Most meets operate with two volunteer shifts, with the second shift typically beginning when the meet transitions to backstroke.
VOLUNTEER POSITIONS
Back-Up Volunteer
Arrives at the beginning of the first shift and remains available through the start of the second shift. This volunteer fills in if another volunteer has a last-minute cancellation.
Assistant Clerk of the Course
Assists with organizing swimmers in the Clerk of the Course tent, typically lining up four heats at a time. At Champs, this role should only be filled by volunteers who have previously served in this position during a regular meet.
Timers
Timers operate stopwatches to record swimmers’ times in their assigned lane. Each lane has two timers, one from each team. One timer also serves as the scribe and records the times on a clipboard. Times are recorded to the hundredth of a second.
Back-Up Timers
Back-up timers cover three lanes and provide a recorded time if a lane timer misses the start or experiences a stopwatch malfunction. Back-up timers must start their watch for every heat.
Runners
Runners periodically collect timing sheets from timers and disqualification slips from stroke judges and the meet referee, delivering them to the scoring table for entry into the meet system.
Ribbons
Ribbon volunteers attach printed result labels to ribbons and file them into each team’s ribbon box. Ribbon shifts generally begin 30 minutes after the start of the regular volunteer shifts.
Tent Monitors
Tent monitors supervise the team tent, encourage swimmers to stay out of the sun, and help organize swimmers so they report to the Clerk of the Course at the appropriate time. Keeping swimmers calm and quiet helps ensure they can hear meet announcements. The second-shift tent monitor also assists with meet clean-up.
8U Tent Liaison
The 8U tent liaison escorts 8-and-under relay swimmers from team cheer and anthem to the Clerk of the Course with caps on and goggles ready. During the meet, this volunteer works with tent monitors and the Clerk of the Course to help younger swimmers get to their events on time.
Starters, Scoring, Announcers and Meet Referee - these positions all require special training and are invited by the swim chairs.
END-OF-SEASON PENALTIES
$150 per unfilled regular-season volunteer shift
$150 per unfilled Champs volunteer shift
Penalties are assessed at the end of the season and billed to the family’s club account.
AUTO-ASSIGNMENT & NO-SHOW POLICY
Champs shifts remaining unfilled seven (7) days prior to Champs may be auto-assigned to Champs-participating families who have not signed up for their Champs requirement. A no-show or failure to work an assigned shift will be treated as an unfilled shift and subject to penalty.
